Papercut - End user / Department Technician Guide

A guide for setting up and using Papercut for printing on Xerox printers.

This article aims to explains the requirements for Papercut, the setup process for Papercut and printing, and troubleshooting steps in various situations.

Requirements

In order to print, the following are required:

  • Valid and active UWin Account
  • Connected to Global Protect
  • (If on campus) Connected to Ethernet or uwinsecure

 

Printer install

Windows - Corporate

  1. "Papercut Print Deploy Client" installed through Company Portal (if not already installed on device) (installation requires admin rights).
  2. Printer access is controlled by groups in Entra. If printers do not automatically install, open system tray, click the green printer, then click “Refresh my Printers now”.

Windows - BYOD (Personal Device)

  1. Download the Mobility Client from this link: Mobility Print- Windows setup (uwindsor.ca)
  2. Change gateway on Global Protect to External.
    1. Click the Global Protect icon in the system tray (bottom right of your screen)
    2. Press the change gateway dropdown and select the external option
  3. Run the downloaded file.
    1. Select language of choice.
    2. Accept the agreement.
    3. Select printer(s) you wish to print to.
    4. Select Next.
    5. Enter the below credentials
      1. Username: UWinID (everything before @uwindsor.ca)
      2. Password (Your UWinID password)
    6. Click Finish.

MacOS - Corporate / BYOD (Personal Device)

  1. Go to settings
  2. Go to Printer
  3. Click Add Printer/Scanner
  4. Select required printer
  5. Press OK.
  6. Select features required (Office Finisher)
  7. Press Done.
  8. When you print, you will need to enter your credentials (UWinID and Password, not Apple device login)

 

Troubleshooting

**Important** Before going further, please make sure you are connected to Global Protect and (if on campus) you are connected to Ethernet or uwinsecure

Installation Fails (For Department Techs only)

  1. Navigate to Papercut Admin (Link)
  2. Click Enable Printing
  3. Click Clients in the main area
  4. Click the button for Windows
  5. Download will start automatically.
  6. Run custom setup without changing the name.

 

I got an email that says “Printing denied”

Contact your department administration to be added to the department group for printing.

Note: These changes will not take effect until 12:30 AM the following day

 

Swipe Card Issue “Card not associated with account. Would you like to associate?”

User scans card to log in, screen says “Card not associated with account. Would you like to associate?”

User says yes and enters UWinID (no "@uwindsor.ca") and Password

Then follow the prompts to associate until device reads successfully associated

 

Printer not Selectable as Option

If file was open before printer was installed, close the file, reopen and try to print again.

 

The Printer won’t release my file on the device

WORKAROUND: Log into papercut.uwindsor.ca to release the print job.

Then reach out to your department technician or submit a ticket.

 

The printer won’t connect at all after I installed the printer

If the printer won’t connect after installation, restart your computer and try printing again.

 

Printer Drivers won’t install, pops up with admin sign in and says “Requires Elevation”

User is not admin on their device. Either request to be set up as admin on your computer or have someone with admin rights log into the computer.

 

Printer error message “Held for Resources”

Print job is default set to A4. Contact your department technician or submit a ticket to have the printer default changed to “Letter”.

 

Printer isn’t printing or showing in Devices and Printers

  1. Open system tray and click the green printer.
  2. Click Refresh my Printers Now.

Note: if the above steps don’t fix the printer issue, contact your department technician or submit a ticket for further assistance.

 

Shared Device Can’t Install Printer

Someone with admin rights needs to sign into the device to install the printer.

 

My job is stuck in “spooling”

This was a problem with the windows print spooler service. To fix it, run the Windows Troubleshooter for printing. Troubleshoot Settings --> Other Troubleshooters --> Printer
It automatically stops, repairs, and restarts all printing services.

For a manual fix for spooling error:

To stop and start the print spooler service:

  1. Windows key + R, type services.msc and press enter.
  2. On the Services window, look for Print Spooler on the list.

Print Spooler should always be running and set to automatic.

If it’s not set to automatic:

  1. Right click on Print Spooler in the list
  2. Go to properties
  3. Start up Type Dropdown; choose automatic
  4. Click Ok

To start and stop (refresh) the print spooler:

  1. Right click on Print Spooler in the list
  2. Click Stop
  3. Right click
  4. Click Start

 

Printer Installation Fails and Domain Controller Appears

Sign out of device and sign back in with UWinID password then printer should work.

 

On a Mac, I have no printer features (after install)
