How to Add Family Members as Contacts in UWinsite People to Enroll Them in Benefits or as a Beneficiary

Tips to Before You Get Started

  • The first step is to add beneficiaries as contacts in UWinsite People. This ensures you can correctly add them for Benefit and Insurance purposes, to help you avoid errors and enrolment delays.
  • If you are a new hire and you plan on others joining your benefits plan or listed as a recipient of life insurance, please add them as a contact on your first day of work

Probationary Period:

  • If you have a standard probationary period in days (not based on hours), you will be able to pre-enroll in your benefits on your first day of work with a future dated enrolment date. You have the first 30 days to enroll your beneficiaries.
  • If your probation period is based on hours or shift type (Unifor 444) your benefits enrolment in UWinsite People will be available after your date of eligibility has been confirmed.
  • Again, add ALL CONTACTS before continuing to enrolling them as beneficiaries. 

Adding Contacts

To begin adding any new contacts, in your browser, go to uwindsor.ca/uwinsite/people. Complete your single sign-on in UWinsite People using your full UWinID@uwindsor.ca as your username and your UWin Account password. Then:  

  1. Under Me, navigate to Benefits.
  2. Select Before You Enroll.
  3. Select +Add icon to add your contacts that you plan on enrolling and populate fill in the details such as their name, relationship to you, address, etc.  Note: If you have a life insurance beneficiary under the age of 18 years old you also need to include the trustee as a contact.

Adding Spouse (Legal/Common Law)

An individual can become a spouse through legal marriage, or if you have been living together in the same dwelling for one year or more.

Legal Spouse: A Declaration of Spousal Status form is required if you are legally married.

Common Law Spouse:  A Declaration of Spousal Status form is required if you have been residing together for one year or more

  • In addition to the fields marked by an asterisk(Last Name, Legal First Name, Relationship, Start date of the Relationship)., Additional fields are required including: Gender, Date of Birth, and Tobacco Use. A preferred name is optional.

NOTE: The Start Date of Relationship - For spouses, this is the marriage date or common law eligibility date, or your hire date, whichever is later.
Once you have entered the information, select Submit. If you have more contacts, select +Add, otherwise select Continue to begin enrolment.

Adding Child/Stepchild

Child/Stepchild – person you are legally responsible for who is under 22 years old as at 11:59 p.m. on December 31 of current year.

NOTE: Start Date of Relationship (SDR). For child/stepchild, it is the date of birth, the date of guardianship, or your hire date (whichever is later). In the example below, the SDR is the employee’s hire date.

Once you have entered the information, select Submit. If you have more contacts, select +Add icon, otherwise select Continue to begin enrollment.

Adding Adult Dependents

Adult Dependent is an individual (child/stepchild) who is at least 22 years of age or older at 11:59 p.m. on December 31 of the current year, and who in addition to the age requirement, satisfies one of the following two eligibility criteria:

  1. Unmarried, normally reside with, or is totally dependent upon you for support, and has full-time student status (and  no older than 26 years of age by December 31 of the current year). In this case, proof of full-time registration in a post-secondary institution must be submitted each year to Human Resources through the Document Records function.
  2. Infirm Status (no upper age limit). In this case, you must provide medical confirmation that your child is mentally or physically disabled.

The highlighted fields below are required to be eligible for enrollment in benefits. Select either Student Status – Full time Student or Disability Type – Yes for Adult Dependents. For the contacts who are already in UWinsite People as “child”, you need to update the relationship as Adult Dependent effective January 1 of the following year and add their student or disability status.

Start Date of Relationship  For adult dependents, it is as of January 1 of the eligible year (the year turning 22), or the date when the adult dependent becomes eligible (i.e. 22 years old + full time student status) whichever is later.

  • Once you have entered the information, select Submit. If you have more contacts, select +Add , otherwise select Continue to begin enrollment.

You will need to provide proof of eligibility that will be initiated upon enrollment of the contact. Proof includes:

  1. Proof of full-time registration in a post-secondary institution must be submitted each year. 
  2. Infirm Status (no upper age limit) – provide medical confirmation that your child is mentally or physically disabled.

Adult Dependent status is reviewed annually. It is your responsibility to ensure Human Resources is aware of any changes in status.

Adding Other Beneficiaries

  • In addition to your spouse/child/adult dependent, you can set up other individuals as contacts who you want to designate as beneficiaries (for example, siblings, friends, cousin, etc.) using the below steps. If you are listing an individual as a beneficiary who is under 18 years of age, you must identify a trustee.

Important: Please ensure you enter information in the fields. Should you miss any of the fields, you will not see this individual on the list of eligible beneficiaries in the enrollment.

  1. Once you have entered the information, select Submit. If you have more contacts, select +Add.
