How Create a Requisition to be Posted (Manager or AOR)

Summary

Managers can learn how to create a requisition to be posted and solicit applications. Note all job require a requisition in order to hire an individual into a UWindsor position.

Body

Managers and hiring support staff need to create a requisition for any job for which they intend to hire. In the following steps, learn how to create a requisition to be posted and solicit applications. 

In your browser, go to uwindsor.ca/uwinsite/people. After you complete your single sign-on in UWinsite People using your full UWinID@uwindsor.ca as your username and your UWin Account password. Then: 

Before Creating a Requisition  

Before creating a requisition, ensure you have obtained the position number for the vacancy as in some cases there are multiple positions with the same title, and each is attached to an employee. 

  1. In UWinsite People, select My Team and then My Team.  
  2. A list of employees under your supervision will appear. In the View By, select Position.
  3. Then select a position/person for which you are creating the requisition. Under the title you will find the position number.

Start Creating a Requisition  

If you are the manager of the position you wish to create the requisition for and the position reports directly to you, the follow these steps (method A or method B) below. If it is not a direct report, follow the Not a Direct Report steps. 

Direct Report

Method A

  1. Go to My Team and select Hiring. This will take you to the Job Requisition. 
  2. To create a requisition, select +Add.

OR

Method B (which doesn't necessitate knowing the position number before hand)

  1. Click on My Team, then select My Team. Click on the drop down next to View By and select Position.
  2. This will show you all the positions in your Team. Click on the three dots next to the position for which you wish to create a requisition. 
  3. Click on Create Requisition. ** Please note that when you create the requisition this way, it will populate the position details.
  4. Next, select a position. You should be aware of the specific position, and position number associated with the person or role in advance. Select Continue.

Not a Direct Report

If the position is not a direct report, (and you are a hiring support staff) then:

  1. In UWinsite People, go to My Client Groups and select Hiring. This will take you to the Job Requisition. 
  2. To create a requisition, select +Add.
  3. Under Requisition Type, Standard should be displayed. 
  4. From the Use, select Position. The Business Unit is defaulted, leave as displayed.
  5. Next, select a position. You should be aware of the specific position, and position number associated with the person or role in advance. Select Continue

Basic Info Section

  1. In Basic Info, Requisition Type, Requisition Title, Number of Openings, Position and Languages fields are pre-populated. If there are greater than 1 opening, you can change that number in one of the Number of Openings fields. Select Continue

Hiring Team Section

  1. Hiring Manager field is populated automatically. Select Recruiter then choose the Talent and Recruitment Coordinator's name who is the assigned recruiter for your area. 
  2. If needed, you can name another individual to include in the process (example: interview committee members) in the Add Collaborator Type. Select Collaborator; another box opens where you begin to type the individual’s name and choose that name when it is displayed. Click ContinueTip: you may have to search using only the first name, or last name. 

Requisition Structure Section

  1. Choose the Recruiting Type (ex. Staff, Executive, Student, etc.) 
  2. Under Organization, select an appropriate department
  3. Under Primary Location, select Windsor, ON, Canada
  4. Job Family field is populated automatically. 
  5. Under Job Function select the function that applies from the drop-down and select Continue
  6. This will bring you back up to the How section. Select Continue once more. 
  7. In the Basic Info, you will see a new field labeled Business Justification, where you select the need and the reason for the requisition. Human Resources Recruitment Team will review for accuracy, and should you select a Business Justification in error, they will contact/correct the error with the appropriate justification. A Comments box will also appear, where you MUST specify the individual for whom the requisition is being created. Select Continue
  8. Select Continue under Hiring Team and Requisition Structure. 

Details Section

  1. From a Worker Type, select Employee (contingent worker is only used for temps from agencies). **Please note even if these are not mandatory fields (marked with an asterisk), this information may affect another part of the recruitment process. 
  2. In the Regular or Temporary select an option that matches the status of the role for which you are hiring.
  3. In the Full Time or Part Time, select whether this is Full-time or Part-time position. 
  4. In the Job Shift, select which value represents this role. 
  5. In the Rate of Pay, you will need to input the rate on the grid or annual rate of pay (you can enter hourly rate or the full salary amount). 
  6. Input the number of hours per week in the Working Hours field (35 hours per week for a Full-Time position, 24 hours or less per week for a Part-Time position) 
  7. For Has the Job description changed since last evaluated? Select Yes or No. If you choose Yes, please continue with the requisition and contact the Total Compensation Team. Selecting Yes will still let the requisition proceed all the way, however it will not be posted until the job has been evaluated. If you select No, click Continue

Attachments Section

  1. Attach a file or add a link to the current and most up to date job description, copy of the interview questions to be used during the interview, document outlining the interview committee members and interview scheduling options.  

Note: It is recommended to add the documents listed above in this section to allow for early preparation and streamlining of the process, ensuring all necessary materials are available well in advance.  

Finalizing the Requisition to Route to HR 

  1. Navigate to the top of the requisition page and select Save and Close**Do not click Submit for the requisition. 

You will get a message telling you to submit the requisition. The requisition in its current state will route to the Recruiter for submission and approvals. You will see the status of the requisition change to “Draft – In Progress”.

Should you need to edit any information on the Job Requisition after you Saved and Closed is, contact Recruitment Team through Send a Message feature.
