How to Change an Employee's Schedule as a Manager

Summary

UWinsite People has schedules posted for each employee. These schedules can be adjusted and changed by a manager. Find the article to learn how to do it.

If it is known that an employee will be working a different schedule when they transfer to a new position, or if they move to a new schedule within their existing assignment, the schedule will need to be updated to reflect this change.

Go to uwindsor.ca/uwinsite/people. After you complete your single sign-on in UWinsite People using your full UWinID@uwindsor.ca as your username and your UWin Account password. Then:  

  1. Under My Team, select Show More.
  2. Navigate to the Absences.
  3. Select Work Schedule Assignment.
  4. Then Select or search for the person for which you want to amend their schedule.
  5. End date the existing schedule the day before the change takes place
  6. Use the + Icon to add a new row
  7. Fill out the details of the schedule change:
    1. Start date – the date that the new schedule becomes effective
    2. End date – the date at which the schedule ends; if the schedule continues indefinitely, please use the date 31-Dec-2040
    3. Name – select the schedule from the drop down list, or search for the correct schedule
    4. Primary – set to yes
  8. At the top of the page, select review.
  9. Review the changes being made.
  10. Repeat the steps above for any additional changes needed
  11. Select submit.

The schedule will now be updated. ***Please note that it is best to make schedule changes for future pay periods only – if you need to make a change for the current or previous pay period, please submit a ticket for assistance, as changes may be needed to the current time card if it is no longer correct ***

Please do not leave any periods without a schedule – if there is an end date and no schedule has been defined, the employee will return to the system default schedule, and will not reflect accurately in the time cards.

Managers can set a future date when the employee’s schedule will revert to their original schedule by using the + at the top of the schedule. Ensure that the start and end dates for each schedule change do not overlap.

If a time card has already been generated, please submit a ticket so that the time card can be re-generated with the new schedule. Any exception time will need to be added to the time card again once it has been regenerated.
