Timecard Routing for Employees with Multiple Assignments in UWinsite People

This article will explain how timecards are routed in UWinsite People for employees with multiple assignments and outline the steps to follow as a temporary workaround.

In UWinsite People, for employees with multiple assignments that require timecard submissions, timecards are currently routed to the manager of the employee’s primary assignment. At this time, managers of secondary assignments do not receive notifications regarding hours entered.

Current Status: We are working on a permanent solution with our implementation partner to address the approval workflow.  

In the meantime, please follow the steps below to work around the issue:

  1. If you receive a timecard for an employee that includes time entered for a position other than the one that they report to you for, please do not approve or reject within the bell notification.
  2. Click the link in the bell notification to open the timecard and review the details. Confirm that the time entered for the position reporting to you is accurate. Each entry will display the associated position and the hours recorded.
  3. Once you have reviewed the time for the position that reports to you, use the actions menu and select the reassign function.
  4. Select the manager of the other position by searching their name.
  5. Add a comment noting that you approve the time for the position for which you are responsible. This will re-route the timecard submission to the manager of the additional position, and the comment will show up on the approval record.
  6. The manager receiving the re-routed timecard will review the hours associated with the position they oversee and either "Approve" the time or re-route it further until all hours for each position on the timecard have been approved. Multiple Reassignments: For some employees with several positions, this step may need to be completed multiple times.)
    • If you are a secondary (or additional) manager receiving the timecard, please follow the same review steps outlined above for any positions that fall under your supervision.
    • Please note, if you have been re-routed time for approval, the approval will show as “TRANSFERRED”, indicating it has been transferred to you by someone else.
  7. Final Approval: Once the last manager receives the timecard, they can approve it. The timecard will then be submitted to payroll for processing and payment.
