Discover your habits and work smarter with MyAnalytics (pilot program)

Summary

MyAnalytics is an tool that can be enabled on a user-by-user basis. This document outlines some of its features and provides links to additional resources. At the present time it is in pilot testing.

Body

More people than ever feel like they lack control over their time at work. People who spend a lot of time in meetings, sending email or talking on the phone say that 50% of that time is not productive. Almost 50% of employees (in general) report that their work interferes with their personal life.

MyAnalytics is an extension of the Office 365 user experience. It uses everyday data that is already available in Office 365 to produce insights and suggestions that will help you achieve balance and better make use of your time. It aims to identify and improve work patterns by looking at how time is spent and who they spend it with.

MyAnalytics consists of these key elements:

  • MyAnalytics Dashboard (Web page)
  • Insights (Outlook add-in)
  • Email digests (weekly summary messages)
  • Inline suggestions

MyAnalytics Dashboard

Offers statistics on how you've spent your time over the past month, productivity insights about your work habits, helpful suggestions for improvement, and explore your network, top collaborators, and collaboration activities.

Insights (Outlook add-in)

Offers cards that report on aspects of your recent work experience and let you respond in various ways.

The Insights button is only available when you have a message open for viewing, or when you are composing a new message.  The Insights button is not visible or greyed-out when you are in the calendar view, looking at a calendar entry, or looking at a list of messages. The insights provided apply to all messages and calendar entries however.
In Outlook for the Web, insights are available from the three-dots menu when reading a single message.

 

Email Digests

Offers weekly suggestions to help you better understand your work patterns and ways to improve them.  Each week will focus on one of the following work patterns:

  • Focus - Find ways to increase your focus hours, so you can accomplish deep work and unleash your creativity.
  • Wellbeing - See if you’re getting good balance between work and personal time, then find ways to disconnect and unwind after hours.
  • Network - See who’s in your network and make sure you’re keeping up with important contacts and relationships.
  • Collaboration - Get tips on how to plan your calendar, spend less time in low-quality meetings, and write more effective emails

In-line Suggestions

These hints, provided in Outlook, are brief data and AI-driven notifications that appear in Outlook while you are either reading or composing an email or a meeting invitation.

These suggestions can help boost your productivity and that of your team by displaying useful suggestions, tips, and best practices around managing email and running meetings.

They can also help you reclaim focus hours and build better collaboration habits, in addition to other practical benefits. Here is an example is shown at the top of an email, reminding you of the after-hours impact you’ll generate for your colleagues. It suggests you clarify the email's urgency, so that recipients know if it can wait until working hours.

Privacy

Who can see my data?
Only you can see your data. The statistics and insights that are generated from your data are for your eyes only. Your manager or system administrator cannot view your personal data.

How is my data protected?
Uses data from your Office 365 mailbox, namely data about your email and your meetings plus data about your calls and chats in Teams or in Skype for Business.

MyAnalytics stores your data in your mailbox itself and gets the same protection that your email and calendar itself gets. This means your data is protected the same way your email and calendar information is kept private and protected.

Pilot Project Participation

To participate in the MyAnalytics pilot project, open a service request with this link and request that MyAnalytics be enabled for your account.

Using an analytics tool is a path.  Since it will take a few weeks for MyAnalytics to "learn" your current habits, you will not see insights in a while.  During that time, here are some learning modules that you should review (they are located in the Files section of this knowledge base article:
