Employee Onboarding & Offboarding

I.T. onboarding refers to the process through which a new employee acquires access to I.T. resources that they require to perform their job. I.T. offboarding refers to removal of access to I.T. resources from anyone who is no longer employed by the University of Windsor. For a new employee who has never worked at the University before, you must use the sponsor form by clicking here and signing in. After the account is sponsored and activated by the new employee, IT Services will create a ticket and reach out to the sponsor. This ticket form is not used for new employees, only current employees who are changing a position, changing location, or no longer working at the University at all. 

For any positions that require access to I.T. resources, I.T. Services department needs to be involved when:

  • a new employee is hired (ie. someone who previously was not employed by the University)
  • an existing employee is transitioning into a new position
  • an existing employee resigned or was terminated

Each of these scenarios may involve one or more of the following:

  • Campus directory entry needs to be added, removed or updated (office location, department name, job title, telephone extension, etc.)
  • A new workstation may need to be procured and provisioned with software, or an existing workstation may need to be redeployed from the previous user.
    • Inventory asset record needs to be updated
    • Network settings may need to be updated
    • New software may need to be installed
    • Printers need to be added 
    • Access to shared mailboxes needs to be grated/removed
    • Access to Office 365 Groups / Teams and file shares needs to be granted/removed
    • Access to I.T. systems, such as UWinsite Student, UWinsite Finance, etc. needs to be granted/removed

To request assistance with employee I.T. onboarding and offboarding, please click Open Ticket button on the right. This will bring up a form that you will need to fill-out and submit to open a support ticket with the I.T. Service Desk. You will receive a confirmation e-mail with the ticket reference number and additional instructions.


Please be sure to open a ticket as soon as possible to ensure that I.T. Services has adequate time to fulfil this request prior to their first day.


  • For new employees, you have to request UWin Account prior to submitting an onboarding service request ticket. The onboarding ticket for your new employee should be submitted under their name.
  • If you plan on procuring a new computer for your new employee, you have to submit your request as a separate ticket in addition to the onboarding service request ticket. The new computer procurement ticket for your new employee should be submitted under their name.
