How to reserve a meeting room in Outlook?

You can reserve a meeting room in Outlook while you are composing your meeting invitation. After you send your meeting invitation, you will receive an e-mail confirmation for your room booking. Note that some rooms can only be booked by a selected group of people in specific departments. If you are not authorised to book a particular room, you will be informed of this in the e-mail message that you will receive after sending you invitation.

Outlook Web App

  1. Open your calendar and click on New Event button.
  2. Click on Search for a room or location 
  3. Click on Browse with Room finder (optional) or start typing building name to see reservable rooms in that building.
  4. Select the room you want.
  5. Click on the Scheduling Assistant button to see the availability of your invitees, including the availability of the room.

Outlook Desktop App

  1. Open your calendar and click on the New Meeting button on the ribbon. If you are not seeing this button on the ribbon, please click on the Home tab near the top of your Outlook window. Note that you must be in your calendar for this button to appear on your ribbon.

     
     
  2. Method #1. To browse through reservable rooms by building or department, click on Room Finder button that appears at the end of the Location field. Start typing a building or department name in the Building field to see what's available in the system, and make you selection from a list of search results. All reservable rooms in selected building or department will be displayed. Click the one you want - its name will appear simultaneously in Location and Required fields.



    Method #2. To browse through all reservable rooms, click on the Location button that appears below Start/End Time section.

     

    Browse the list of available rooms, or search for your room using full or partial building name. Double-click the name of the room that you would like to book and make sure the room name appears in the filed on the bottom of the dialogue box, then click OK.

     

     
  3. Fill out the rest of the fields in your meeting invitation as appropriate.
  4. Click on the Scheduling Assistant button on the ribbon to see the availability of your invitees, including the availability of the room. Adjust the date/time accordingly if the room you want is not available, or repeat these steps to select a different room.

In Office 365, each room and resource has its own separate calendar/mailbox associated with it. If you want to access and/or manage the schedule for a particular room, you can add the respective room's calendar to Outlook's Calendar section.
In order for you to see all details of the room bookings, you must have full admin access to that room. Only local room administrators are permitted to have full access to a particular room calendar.

People can accept meeting invitations in Outlook 2013 without sending a response to the meeting chair.
