Accepting Your Student Job Offer

A step-by-step guide for University of Windsor student employees using UWinsite People (UWP)

Congratulations on your job offer! This guide walks you through everything you need to do in UWinsite People (UWP) to accept your offer and get set up as a student employee. Following these steps makes sure your employment record is created correctly so you can start work and get paid on time.

Before you start

You cannot begin working until you have:

  • accepted your offer electronically in UWP, and
  • completed any required Pre-boarding and Onboarding journeys.

Paper hiring packages are no longer used. Everything is now done in UWP. Documents sent to the HRStudent email address will not be accepted.

Which steps apply to me?

First, figure out which type of student employee you are:

  • New student employee: you are working at the University of Windsor for the first time, or you have not worked here for one year or more.
  • Existing student employee: you are currently employed as a student at the University of Windsor.

Part 1: Accept or decline your offer

When your offer is ready, you will be asked to either accept or decline it. You can also download a copy of your offer letter for your records.

If you are a new student employee

  • Look for an email notification about your job offer.
  • Click the link in the email to view your offer.
  • To accept, type your full name as your e-signature and click Submit.

If you are an existing student employee

You can open your offer in one of two ways:

  • Click your bell notification in UWP, or
  • Go to the Me tab → select Current Opportunities → find the offer under Submitted Applications.

Then:

  • To accept: add your e-signature and click Submit.
  • To decline: enter a reason for declining and click Submit. Your reason will be shared with the recruiter and hiring manager.

Part 2: Complete your Pre-boarding tasks

Who this is for: new student employees only. Pre-boarding starts automatically as soon as you accept your offer.

Existing student employees will not receive Pre-boarding emails, unless you have been hired by the Faculty of Education. In that case, you will receive a short Pre-boarding journey to complete the OTPP form only.

Complete these tasks as soon as possible

  • Your job and pay cannot be set up until your journeys are complete. Delays can hold up your start date and your pay.
  • Journeys have an expiry date. If one expires before you finish it, HR will have to reopen it for you.

You will then receive a welcome email at your personal email address with directions for next steps.
