The University’s Prescription Safety Glasses Program provides eligible employees who require prescription eye protection for their work with a voucher for approved prescription safety eyeglasses.
Employees can submit a Prescription Safety Glasses Voucher Request through UWinsite People (UWP). The request is first sent to the employee’s supervisor for approval and then to Employee Safety & Wellness (ESW) for final review. If approved, ESW will issue the voucher.
1. Employees: Submit a Request in UWP
- Open the UWinsite People webpage, select UWinsite People System Access, and sign in using your UWin ID and password.
- Select Home in the upper-right corner of the screen to open the main dashboard.
- Select Show More at the bottom left of the screen.
- Select Document Records.
- Select + Add to create a new document record.
- Open the Document Type menu and select Safety Glasses Voucher Request. Wait for the form to load.
- Complete and submit the form:
- Answer each question.
- Enter the date of the request.
- Indicate whether you are requesting tinted lenses, transition lenses or conductive frames.
- Leave the Attachments and URL sections blank.
- Select Submit.
The request will automatically be sent to the employee’s supervisor for review.

2. Supervisors: Review and Respond to a Request in UWP
When an employee submits a request, their supervisor will receive an email notification from UWP.
- Log in to UWinsite People.
- Open the request from Notifications.
- Review the employee’s request, including the type of eyewear and any special lens or frame options requested.
- Select the appropriate action:
- Approve if the request is appropriate for the employee’s duties, work environment and associated hazards.
- Select Actions > Add Comments if information is missing or clarification is required from the employee.
- Reject only if it has been confirmed that the request should not proceed—for example, it is a duplicate, was submitted in error, or prescription safety eyeglasses are not required for the employee’s duties.
Once approved, the request will automatically be sent to ESW for final review.
3. Understanding the Approval Process
The supervisor and ESW review different aspects of the request:
- The supervisor confirms that prescription safety eyewear is required for the employee’s current duties and is appropriate for their tasks, work environment and associated hazards.
- ESW confirms the employee’s eligibility in accordance with the applicable collective agreement and University procedures.
As part of their review, supervisors consider:
- the work the employee performs;
- the eye hazards associated with that work; and
- whether any requested lens or frame options are appropriate for the employee’s work environment.
Supervisors are not responsible for reviewing the employee’s optical prescription or selecting a specific eyewear model.
4. Safety and Program Information
Prescription safety eyeglasses may not provide adequate protection against chemical splashes, excessive dust, radiant energy, or combined hazards that may be present in laboratory, workshop or maintenance settings.
If it is unclear whether prescription safety eyeglasses provide sufficient protection, contact ESW (esw@uwindsor.ca) before submitting or approving the request. A risk assessment may be required to determine the appropriate eye protection. Safety glasses and goggles that can be worn over prescription glasses are available through the Chemical Control Centre at ccc@uwindsor.ca.
