When Budgets receives a requisition for approval, several actions can be taken before deciding to approve or reject it. Some actions may require additional information from Line Managers, necessitating their prompt response to avoid delays in the recruitment process.
Find the actions available to Budgets during the approval stage:

After reviewing the requisition details, Budgets and other Approvers can use the Actions dropdown menu. They can select these options:
- They can Request Information from the task creator or previous approvers for more information.
- Enter the recipient's name.
- Add comments about the information needed.
- Choose to:
- Return the task to Budgets after receiving the requested information.
- Restart the approval flow.
- Submit or cancel the request.
The Line Manager will receive a notification for the additional information request. Or, the request can be addressed by selecting the specific requisition and clicking See what’s needed.
- Enter the required details in the comments box.
- Attach any necessary files, if applicable.
Then, click Submit Info.
Other Options Include:
- Delegate: Assign the task to another user while retaining responsibility for it.
- Specify the delegate's name.
- Add comments.
- Submit or cancel the delegation.
- Reassign: Fully transfer the task to another user.
- Push Back: Send the task to the previous approver. Expand the Approval History to view their comments or attachments, if available.
- Escalate: Assign the task to your supervisor, with an option to add comments or attachments.
- Release: Make the task available for others in the approval group to claim.
- Suspend: Put the task on hold until resumed. To resume:
- Open your notifications and select the approval task.
- Click Resume at the top right of the page.
- Approve, reject, or choose an action from the dropdown menu.
- Withdraw: Remove the task from the workflow. This sends the requisition back to the person who submitted the requisition for Redrafting, resubmission, re-approval, or for cancellation.
- Add Comments: Provide additional information about the approval or rejection.
- Add Attachment: Attach files to provide supplementary information.
Not all 10 actions listed above are available at every approval stage. However, during the Budgets approval stage, all 10 actions are fully available for use.
Final Steps
- Approve: Approving the requisition at the Budgets level completes the process and sends it to HR for further processing.
- Reject: Rejecting the requisition sends it back to the task creator for revisions.
Before submitting your decision, you will have the opportunity to:
- Add comments
- Attach files (if needed)
Reminder: Budget approval is the final level of approval before the requisition moves to HR.
