Creating a Requisition Using the HR/Other Recruiting Type

Preliminary Steps 

The HR/Other recruiting type can only be used for  

  • 60-day positions 
    • These are typically processed under the HR/Other type. 
    • Line Managers are expected to have a candidate identified for these roles 
  • Limited-term contract positions that do not require Budget approval. 

Important Note: This requisition type bypasses approval levels and goes directly to HR. 

HR Review Process 

All requisitions will be reviewed thoroughly by HR. Requisitions that do not meet the criteria will be rejected. 

Candidate Matching Process 

Process for External Candidates 

  • Line Manager adds the individual as a Prospect
  • The candidate receives an invitation to apply for the position. 
  • HR reviews the applicant’s profile and credentials. 
  • If the candidate meets the position criteria, they can be moved to the offer stage. 

Process for Internal Candidates 

  • HR Recruitment will add internal candidates directly to the requisition. 
  • The internal candidate will be moved to the offer stage. 

Important Note: Only new candidates may be matched directly by Line Managers. For existing employees, matching is managed by HR Recruitment. 

Using HR/Other when creating a requisition 

Below are the steps for creating a Requisition using HR/Other 

  • Go to the requisition creation section (you can refer to the How to Create a Requisition to be Posted KBA here) 
  • Under the Recruiting Type dropdown, select HR/Other
  • Complete all required fields in the requisition structure. 
  • Review the requisition to ensure accuracy and alignment with outlined criteria. 

Note: For existing employees, matching to all recruitment types, including HR/Other, will be handled by HR Recruitment. 

General Guidelines for Budget Review 

Understanding when to submit budget requests is essential for timely review and approval. Below are key guidelines to help ensure a smooth process. 

Submit to Budgets for positions that are: 

  • Permanent Positions: All permanent positions and faculty limited-term appointments. 
  • Temporary Backfills: Examples include parental leaves and interim assignments. 
  • Staff Contracts: Limited-term contracts resembling regular/permanent roles. 
  • Uncertainty: If there is any doubt, submit to Budgets for confirmation. 

Budget Review is Not Required for positions that are: 

  • Recurring roles such as student positions or fitness instructors that are short-term with no long-term obligations. 

Approved HR/Other Recruiting Positions 

Certain roles are pre-approved for the HR/Other recruiting type. Refer to the Approved Positions Table below for the full list.  

Note: If a role is not on the approved list but meets the criteria, it will be reviewed and added as needed.

  • Use HR/Other Recruiting Type Responsibly: Ensure requisitions meet the stated criteria to prevent rejections.
