Microsoft Teams Limits

The limits associated with Microsoft Teams evolve as the platform grows so this document will be updated periodically. For detailed and most up to date information, please refer to Microsoft documentation on this topic.

Teams & Channels

Team owners and/or users can create up to 200 standard channels and up to 30 private channels in a team. This includes deleted channels which can be restored and are lingering for 30 days after deletion and cannot be permanently removed prior to this. For example, if you reached 30 private channels in a team and then deleted some of them to make room for new channels, you will not be able to create another private channel until the 30-day retention period for deleted channels expires.

Up to 250 people can be added to a private channel, while the maximum number of people that can be added to a private team is 25,000 with up to 100 of them being designated as owners.

Channel names must be 50 characters or less and cannot contain any of these characters:
~ # % & * { } + / \ : < > ? | ' " , ..

Group Chats

Up to 250 people can be added to a group chat. After the first 20 users in a Group Chat, rich features such as status messages, typing indicator, group calling, and read receipts are disabled. Only up to 20 people can participate in a video or audio call initiated from a group chat.

Meetings

The maximum number of people that can participate in a meeting with full functionality is 1,000. View-only experience is applied to additional people who join the meeting and allows for up to 20,000 listen-only participants to join a meeting in which the organizer has the A3 license. The view-only experience will soon be available for webinars as well.

The maximum number of people with A1 license (alumni, retirees) allowed to join a meeting is 300.

The maximum size of PowerPoint file that can be presented in a meeting is 2 GB.

Meeting recording maximum length is 4 hours or 1.5 GB. When this limit is reached, the recording will end and automatically restart.

Breakout rooms can only be created in meetings that have fewer than 300 attendees. In addition, creating breakout rooms in a meeting automatically limits the number of meeting attendees to 300. See Best practices for a large Teams meeting for more info.

Teams Live Events can run up to 4 hours and accommodate up to 10,000 participants.

Licensing

With our current Microsoft license, alumni users with an @uwindsor.ca address cannot be added to a team or channel.  If the alumni user has their own personal e-mail address, they can be added to a team or channel. However, alumni users can participate in Teams meetings and they can open files or folders stored in OneDrive or SharePoint that have been shared with them.

Each department has two main teams: one for internal collaboration (i.e. "internal team"), and one for collaborating with users outside of the department (i.e. "external team"). These teams are made up of channels, which are the collaboration spaces within each team in which the actual work is done. Private channels are used to partition each of these teams into sub-teams eliminating the need to create new teams.
