How to set up Automatic Replies (Out of Office) feature in Outlook?

You can use Automatic Replies (Out of Office) feature in Outlook to notify others that you are out of office, on vacation, or not available to respond to e-mail messages.

Configuring and Activating Automatic Replies

Follow these instructions to configure and activate the Automatic Replies feature:

  • Launch Outlook for Windows and click on File tab.


     
  • Click on the Automatic Replies (Out of Office) in the Info section.


     
  • Click on the Send Automatic Replies option to enable it and check the box next to Only send during this time range.
  • Specify a start and end date/time for the reply to activate and deactivate using the Start time and End time fields.
  • Enter a message in the Inside My Organization field. This message will be sent in response to e-mails from @uwindsor.ca addresses (i.e. faculty, staff and students).


     
  • Click on the Outside My Organization tab.
  • Make sure that Auto-reply to people outside my organization box is checked.
  • Enter the message that will be sent in reply to e-mails from external (i.e. non-@uwidsor.ca) e-mail addresses


     
  • Click on OK.

Deactivating Automatic Replies 

The Automatic Replies feature will deactivate automatically according to the End time settings that you configured. If you wish to deactivate it before the specified end date/time, follow these steps:

  • Click on File, Info, then Automatic Replies.
  • Click on Do not send automatic replies.
  • Click OK.
