Using the Teams Meetings Brightspace Integration

You can create, schedule, and share Teams Meetings from within your Brightspace course.

The Microsoft Teams link in your course Nav bar links to the Teams Meetings integrated tool within Brightspace. (If you do not have the Microsoft Teams link anywhere in your Nav bar, you can add it using the instructions in the Edit Course Navbar in Brightspace article.)

Note: The first time you click the Microsoft Teams link, you may be asked to sign in using your UWin ID and password.

Schedule a meeting within your course

Follow these steps to create a meeting – whether you need a recurring meeting for class times or office hours, a one-off class meeting, or a meeting with one student – from within your course using this integration and have it live in your Brightspace course:

  1. In your course site, click Course Tools and then select Microsoft Teams. (If you have moved the Microsoft Teams link, you may find it elsewhere on the Nav bar. If you removed it completely, follow the instructions in Edit Course Navbar in Brightspace to add it to your Navbar.)
  2. On the Microsoft Education page, click Meetings.
Meetings Join and create meetings button
  1. Click the New Meeting button in the upper right.
Meetings screen with New Meeting button in top right
  1. On the New Meeting screen, you will see the name of your course as the meeting name. It is recommended to leave the existing name and, if needed, add text to it.
  2. To invite attendees,
    1. Enter any individual email address(es) you wish to include on the invite.
    2. If you wish to invite everyone in your course, click the Add entire class button which pulls in your Classlist into the 'To' line for the meeting. (You can click the Remove entire class button to delete the users added by the Add entire class feature, if needed.) Participants who have been invited will be able to access the meeting recording in the Teams chat. Anyone who attended will be able to access the meeting recording in the Teams chat, whether or not they were invited.
    3. Click the Attendee settings and select the Allow anyone in the course to join toggle to add the meeting link into the Microsoft Teams area of the course, which the students can use to join the meeting from within the course. (The meeting will not appear on their calendars unless they are explicitly invited following step a. or b. above.

      Note:
  • When you Add entire class, the Keep class in sync is toggled to on. To activate it, you need to refresh the page (using the circle of arrow in the top right corner, to the left of your image) and click Save. The students who enrolled after the meeting was created will have been added to the meeting invitation. IMPORTANT: Whenever that occurs, the meeting invitation is sent to ALL students again.
  • Be sure to select Allow anyone in the course to join so all enrolled students can access your meeting link, even those who have not been added to the meeting invitation.
  • Students who were not invited and did not attend the meeting, will not be able to see the recording in the Teams chat.
  • Students who withdraw after the meeting is created, will remain in the invitation until the meeting is refreshed and saved.
  1. If you have co-instructors in your course who you would like to have the same permissions as the organizer, select Add all Teachers as co-organizers
Toggle for Add all Teachers as co-organizer
  2. Enter the meeting start and end dates and times.
  3. Select Make recurring, if needed, and use the Repeat dialog to set how often and for how long the series should occur.Uploaded Image (Thumbnail)
  4. Enter a description in the text box and click Save. The New Meeting screen

  • The meeting will appear in your Microsoft Calendar.
  • Meetings created in Brightspace will not appear in a Class Team. Meetings created in a Class Team will not appear in Brightspace.
  • Meeting recordings will be saved in the Recordings folder in your OneDrive, along with your other recorded Teams meetings.
  • Recordings will NOT be accessible to your students in the Teams Meetings area in your Brightspace. Recordings will be available to attendees in the meeting Chat. Share the recording to the whole class the the same way you would share any video file saved in your OneDrive.
